What is lead tracking?

Lead tracking is recording where each enquiry came from and what happened to it next: which ad, which campaign, whether it booked, showed and paid. It turns a list of names into a record of which marketing produces members.

Lead tracking for gyms

Most gyms already have lead tracking of a sort: a source field in the CRM that the front desk fills in from what the person said on the phone. "Saw you on Facebook" covers three campaigns and an organic post. That is the problem lead tracking is meant to solve, and a dropdown does not solve it.

Real lead tracking captures the source automatically at the moment of enquiry. The click carries an ID or a set of UTM parameters; the form or the call captures the person’s details; the two are stored together. From there, every later stage, the booking, the show, the payment, is attached to the same record, so the source the lead came from stays with them all the way to the front desk.

The stakes: without it, you are choosing next month’s budget from the platforms’ own reports, and each of those platforms counts the leads it believes it produced. With it, you know the enquiry count, booking count, show count and member count by source, and you can see the source that produces lots of leads and no members. Lead tracking software on its own stops at the lead. Follow-ups, pipelines and reminders are useful, but the number that changes decisions is whether the lead paid, and that sits in the billing system, not the CRM.

How Adsu uses lead tracking

Adsu follows every lead from the first click or call to the front desk: who enquired, who booked, who showed up, who paid. The source is captured by the Adsu pixel on your website and from inbound calls, the enquiry and appointments come from your CRM, and the payment comes from your billing system. Adsu counts verified stages only: if a stage cannot be verified, it is not counted. Every report is one line per campaign per location.

Adsu credits the last eligible touch inside the 30 days before the payment. Adsu is not a CRM and does not replace yours; it reads the lead and appointment records you already keep. Booked, showed and paid go back to Google as offline conversions and to Meta through the Conversions API.

Questions, answered.

  • Software that records the source of each lead and its progress through your pipeline. Most of it lives inside the CRM and is good at follow-up. What it usually lacks is the link to ad spend and to the payment, so it can tell you a lead came from Facebook but not what that member cost or whether they paid.

  • Partly. A CRM can store the source it was given, and with the right URL parameters it can store the campaign too. What it cannot do on its own is match the lead to the ad spend that produced it, tie the eventual payment back to that campaign, or send the booked and paid stages back to the ad platform.

  • The source, captured automatically rather than typed; the campaign and ad where there is one; the enquiry date; whether and when they booked; whether they showed; whether and when they paid; and every renewal after that. Store it against one person, so the same lead enquiring twice does not become two.
